IRP Report

The IRP tab in MyEROAD enables you to view and download a report of your fleet IRP data. Complete the actions described in the IRP Getting Started page before proceeding with the following steps.

MyEROAD IRP Viewing Options

The TAX link in MyEROAD includes an IRP tab that displays complete IRP data based on yearly recording periods. It displays all miles driven and the percentage of total miles traveled within the date range for each jurisdiction (e.g., state). There are four different viewing options that may be selected, which are described below.

By Jurisdiction and Hide Details are enabled:

This view displays the jurisdiction, vehicle name and plate number, unladen weight (lbs), gross weight (lbs), combined gross weight (lbs), total distance (mi), IRP actual distance (mi), and percentage of overall mileage.

By Jurisdiction and Show Details are enabled:

This view displays the jurisdiction and lists the vehicles within each jurisdiction. It also displays the vehicle name and plate number, unladen weight (lbs), gross weight (lbs), combined gross weight (lbs), total distance (mi), IRP actual distance (mi), and percentage. A Vehicle Trip Record (VTR) link is included for each vehicle name to display its VTR report.

By Vehicle and Hide Details are enabled:

This view displays the vehicle name and plate number, year, make, VIN, vehicle type, number of axles and seats, fuel type, unladen weight (lbs), gross weight (lbs), combined gross weight (lbs), purchase price, factory price, purchase date, jurisdiction, total distance (mi), IRP actual distance (mi), and percentage. A Vehicle Trip Record (VTR) link is included for each vehicle name to display its VTR report.

By Vehicle and Show Details are enabled:

This view displays the vehicle name and plate number, year, make, Vehicle Identification Number (VIN), vehicle type, axles/seats, fuel type, unladen weight (lbs), gross weight (lbs), combined gross weight (lbs), purchase price, factory price, purchase date, jurisdiction, total distance (mi), IRP actual distance (mi), and percentage. A Vehicle Trip Record (VTR) link is included for each vehicle name to display its VTR report.

Customizing the MyEROAD IRP Report View

Use the following procedure to select the desired report view.

  1. Click the Tax menu.
  2. Click the IRP tab.
  3. Click the Time Period drop-down arrow to display results by quarter, month, year, or a date range.
  4. Click the left or right arrow to select a specific year, quarter, or month.
  5. Click the Groups drop-down arrow to select a specific group or leave it on All Groups (Fleets), which is the system default.
  6. Click By Vehicle to change the view from By Jurisdiction to By Vehicle.
  7. Click Show Details to see the units operating in each state. Hide Details is the default view.
  8. Review the report contents to ensure that all vehicles are listed on the report and the listed jurisdiction is correct.
    Note: You can add any missing vehicles by clicking Add New Vehicle or Asset on the Manage Vehicles/Assets screen. See Administration > Vehicles/Assets for more information.

IRP Vehicle Trip Report

The data shown on the IRP Vehicle Trip Report helps you to fulfil the recordkeeping requirements of the IRP plan.

  1. Review the IRP report contents to ensure that all vehicle miles are captured by clicking on the VTR link and examining the IRP Vehicle Trip Record.
    The IRP Vehicle Trip Record screen displays the date of each trip, jurisdiction, entry point distance (mi), exit point distance (mi), highways, total miles, and IRP actual miles. The report default displays a yearly view. The report totals are shown on the left side at the bottom of the screen.
  2. Click the time-period drop-down arrow to select a different time period, such as daily, weekly, monthly, or quarterly. You also have the option to select a specific date range.
  3. (optional) Click the respective Date of Trip link to examine the Daily Activity screen for a vehicle. Each row represents mileage from midnight to midnight. 
    All mileage shown on the Daily Activity screen for that day should equal the mileage on one row in the Vehicle Trip Report.
    Note: Click the Back arrow in the browser to return to the IRP Vehicle Trip Record screen.

Important: Some motor carriers might have IRP vehicles that are not equipped with EROAD hardware. The data for those vehicles needs to be added to your IRP report prior to submission. 

Exporting Reports

Use the following procedures to export the MyEROAD IRP report data and the IRP Vehicle Trip Report, respectively.

Exporting the IRP Report

  1. Click the Tools spanner drop-down arrow.
  2. Click Export as CSV.
  3. Click the IRPReport.csv file in the lower part of the screen to open the spreadsheet. 
  4. Save the spreadsheet to your local computer.

Exporting the IRP Vehicle Trip Record

  1. Click the Tools spanner drop-down arrow.
  2. Click Export Data as CSV.
  3. Click the VTRexport.csv file in the lower part of the screen to open the spreadsheet.
  4. Save the spreadsheet to your local computer.
