Tracking Service Due Dates

To track service due dates and book vehicles into the workshop on time,

  • you can keep an eye on the Service traffic light indicators that show your vehicles service status
  • you can also view, export and schedule Service Schedule Reports

 

Viewing vehicle service status

Once a vehicle has had services scheduled a traffic light status indicator is added against the vehicle in the left hand side list on the Service tab. If a vehicle has more than one Services scheduled, the first Service due is displayed with the vehicle on the left hand side.

 

Overdue Scheduled Service Overdue. Immediate Attention required.
Due Scheduled Service Due i.e. has reached reminder period.
No attention required Services not yet due. No attention required. 

NOTE: If you change details of a scheduled service, the traffic light indicator will change to Green even if the service is Due or Overdue. After a short time period (minutes) the status indicator will be updated and will show the correct colour.

 

To list vehicles with scheduled Services:

  1. In the Service tab on the left-hand side, select a Fleet or search for a vehicle by (partly) entering a vehicle name and choose from the suggestions.

  2. Select Service Status and Type.
    Vehicles will be listed accordingly.

 

To view all scheduled Services for a vehicle:

  1. In the Service tab on the left-hand side, click on the vehicle.
    On the right hand side in the Scheduled tab, all scheduled Services for this vehicle will be listed.

 

Viewing Service schedule reports

You can view and export or regularly schedule a Service Schedule Report which will provide you with a list of all upcoming services, and help you plan which vehicles or assets need booking into the Workshop for maintenance.

To view and export a Service schedule report for a fleet:

  1. In the Service tab on the left-hand side, select a Fleet or search for a vehicle by (partly) entering a vehicle name and choose from the suggestions.

  2. Select Service Status and Type.
    Vehicles will be listed accordingly.

  3. On the left hand side, click Tools and select Export PDF Schedules or Export CSV Schedules to export the report.
    The report will be downloaded.

NOTE: If you wish to have the report regularly sent to your email address, click Tools and select Schedule this Report. Choose the delivery frequency, format and how long you want the report to be sent to you for and click Add.

  1. On the right-hand side on the Scheduled tab, click Tools and select Export PDF Schedules or Export CSV Schedules to export the report.
