Inspect Templates
Roles: Service Manager; Fleet Manager and above
Inspect templates regulate defect capture for similar machines. In MyEROAD, you may create any number of inspection checklists (templates) and assign up to 4 of them per vehicle/asset. Operators may then select the appropriate template on their EROAD Inspect mobile app before conducting an inspection.
- Inspect Templates comes with several preset templates, serving as quick guides for making your own custom templates.
- EROAD preset templates cannot be edited, but they can be duplicated. Duplicates can be changed and renamed. This speeds up creating your own templates.
- You may designate any 4 of your templates as Default Types: Heavy, Light, Asset or Trailer inspections. The Default Types may be designated from preset or custom templates.
- You may also re-assign a Default Type to a different template.
Inspection templates cover reportable key issues, such as:
- Service brakes, including trailer brake connections
- Parking brake
- Steering mechanism
- Lighting devices and reflectors
- Tires
- Horn
- Windshield wipers
- Rear vision mirrors
- Coupling devices
- Wheels and rims
- Emergency equipment
To view/edit a template's details:
- Click a template line. A side panel reveals template details.
All details are editable, but Categories come with additional tools:
- v - to reveal the subsection lists
- (pencil) - edits the list
- (trash) - deletes the list
- (Grab handle) - Used to re-order Category groups, to assist an operator's inspection flow.
Template Actions
Click the Action icon beside a specific template to access various options for that template. Available options are:
- duplicate the template
- delete the template (unavailable for EROAD presets only)
- assign the template to a vehicle
- set the template as the Heavy, Light, Trailer or Asset Default Type.
Duplicating a Template
Users may duplicate an EROAD preset template or custom template.
- Click the Action icon beside a specific template name. The list of template action options appears.
- Click Duplicate to duplicate a template. The Add a New Template dialog box opens with the original template's presets populating the new template fields.
- Replace the original template (copy) name in the Template Name field. Note: Fields with an asterisk (*) are required fields.
- Enter a new description in the Description field.
- Enter a Not Safe to Use Message, if a message should be displayed to an operator if a certain item fails.
- Switch the toggles on or off, as needed, in the Item Defaults section, as needed. Toggles include: Inspection Type (Pre-Trip or Post-Trip, Available Results (Pass, Fail, or N/A), or Safe to Use.
- Edit the Category toggles, if needed.
- Click Save to finish your new template. See Create a Template for more information about template toggle switches.
Setting Default Types
A specific template can be set as the default for every heavy vehicle, light vehicle, trailer, or asset that is entered in MyEROAD. You may also assign a template to new vehicles created with one of these vehicle types.
To set a template as a Default Type:
- Click a template's Action icon. The list of template action options appears.
- Select the appropriate Default Type.
Note: Once assigned, that Default Type will be removed from the template to which it was previously assigned. Only 4 templates maximum may hold a Default Type.
Assigning a Template to a Vehicle Type
You can assign up to 4 inspection templates per vehicle in MyEROAD. These templates will then be available to choose from the Inspect app prior to the vehicle inspection.
- MyEROAD > Administration > Vehicles / Assets. Your fleet will be listed.
- Select a vehicle. The Manage Asset page opens. The Inspection section lists any templates assigned to that vehicle.
- Manage Inspection. An entry field appears.
Clicking within the field opens a drop-down menu, from which you can select up to 4 templates. - Update Template.
Creating/Modifying a Template
If creating a template from scratch, click + Add New Template.
You could also duplicate an existing template from that template's Action icon.
Then:
- Add a unique template name, and a description.
- Add a 'Not safe to use' message. This message appears at the end of an inspection on the operator's mobile device after a completed inspection.
- Enable/Disable Exception Flow. Exception Flow allows operators to inspect items out-of-sequence. They must still complete each item's inspection.
- Select Item Defaults applied across all category items. Inspection Type defines when an inspection should occur. Available Results provide the selectable options for operators per inspection item.
- Enable/Disable Safe to use. If enabled, an item's condition is irrelevant for safe and compliant operation.
- Add/Modify a Category.
A category is a group of related items, usually by location. Grouping items this way helps operators conduct an efficient sequential checklist. Categories may be dragged into a different sequence, edited or deleted using each category's tools. - Add Items to a Category.
Inspection items are named, added, deleted and re-ordered the same way Categories are. Each item initially inherits the Item Defaults, but these can be changed per item. - Save.
The template is now available for assignment or further editing.
Assigning Inspection Templates
Templates may be assigned to vehicles or assets one by one or in bulk.
To assign a single asset an inspection template:
- MyEROAD > Administration > Vehicles / Assets. The company's vehicles and assets are listed.
- Select a vehicle or asset. The Manage Asset screen appears.
- Click Manage Inspection. Any assigned templates are listed in the template field.
- Click in the template field. A dropdown list of all current templates appears.
- Select/Add 1-to-4 applicable templates. You may delete templates by clicking that template's 'x'.
- Click away from the dropdown, and click Update Template.
The vehicle's inspection template options are now in effect.
To bulk-assign templates to vehicles / assets:
- MyEROAD > Administration > Vehicles / Assets. The company's vehicles and assets are listed.
- Check each vehicle/asset's leftmost checkbox to be assigned certain templates.
- Click Manage Template. The Inspect Template window pops up.
- Select/Add 1-to-4 applicable templates. You may delete templates by clicking that template's 'x'.
- Click away from the dropdown, and click Apply.
The vehicles' inspection templates are now in effect.
