Managing Services and Defect Repairs

Services are scheduled maintenance checks used to keep a vehicle in compliance and healthy.

Repairs originate from inspection Defects, or can be added ad hoc from the Assets drawer using Create repair.

Repairs can have three (3) statuses: Reported, Repairing and Repaired.

Adding new repairs

To add a new Repair:

  1. Select an asset line. The Asset drawer opens.
  2. Create repair. The Create repair dialogue box appears.

  3. Fill in the requisite details.
  4. Create repair.

The defect is added to the Asset, and its Status set to Reported.

Changing details

Each defect's ... (More) menu provides access to change the defect's:

  • properties (Edit defect)
  • severity (Change severity)
  • supplier and date of repair (Manage booking)
  • repair status (Move to repairing; Move to repaired; Discard defect)

The changes will be updated on the Repair tile on the Asset drawer.

Photos and Comments

Each defect entry contains camera and speech bubble buttons to add an image or comment.

Complete a Repair

To complete a repair if the defect's status is Repairing:

  1. On the Asset table, click on the vehicle to show the asset drawer.
  2. Click ... on the appropriate defect entry.
  3. Select Complete repair. The Complete form appears.
  4. Change details as appropriate.
  5. Complete.

From the moment the Repair gets completed, all Repair relevant information becomes available under Maintenance History.

The completed, repaired defect stays in the Asset's Repairs list for 24 hours.

Include outstanding repairs when completing a service

If a vehicle has been repaired during a service you can add this repair as part of completing a service. This assists in tracking a vehicle's repair history.

Only defects in the Repairing state can be Completed with a service.

To include outstanding Repairs when completing a Service:

  1. Select Complete service from the ... menu of an Asset's Service entry. The Complete form appears.
  2. Change details as appropriate.
  3. The foot of the page lists any outstanding repairs. To complete the documentation for these repairs, slide the toggle ON. The requisite fields appear.

  4. Fill in the appropriate details.
  5. Complete.

The repair will be added to the completed Maintenance History record. In the Tasks tab, the Status will change to Completed.

Tracking completed Repairs

You can track completed tasks in:

  • the Asset Drawer, if it was completed in the last 24 hours.
  • Maintenance History, at the bottom of the Asset drawer.

Scheduling a Service event

To schedule a Service event:

  1. Service > Assets > [select an Asset's line]. Its service drawer will slide open.
  2. Click Schedule service. The Schedule service screen opens.

  3. Fill in the form:
    1. Load service plan: Select a pre-designed plan of services from the list
    2. Choose service type: Select one of the predefined service types
    3. Choose supplier: Select one of the pre-loaded suppliers
    4. Schedule the service by filling in your criteria and timing options.
  4. Click Add another to prepare another service, or Schedule to apply the schedule and leave this process.

As time goes on, service status alerts will be handled by various columns in the Assets screen.  Note that all services already scheduled for this asset will be listed on the right under Existing schedules.

Maintenance History

To access an Asset's Maintenance History:

  1. Select an Asset line. Its Asset drawer opens.
  2. Maintenance history. The Maintenance history page opens.
  3. To edit a maintenance history record:
    1. Select a line, and its maintenance history drawer opens.
    2. Select Edit to edit the entry, Show advanced options to see extra details, or Delete to remove the entry.
  4. Close when ready.

Displaying the record of repairs and services for a vehicle, the Maintenance History page operates much like the Assets page.
