Manage Groups (Fleets)

Groups (Fleets) are collections of machine assets, or people, or a mix of both. Groups may be stand-alone collections, intersect other groups, or may be enclosed completely within hierarchies.

Managing Groups is a fundamental featureset that has several repercussions in reporting throughout MyEROAD. EROAD recommends your company takes a considered approach to creating and managing these structures, and designate people and processes from the beginning to manage them appropriately.

Groups (Fleets) are used in MyEROAD for two reasons:

  1. Filtering: If you have a lot of vehicles then you can use the Group (Fleet) filters available on some screens to limit the number of vehicles or rows in lists. This will help you find and focus on the information you are looking for.
  2. Access controls: Users can be set up to access only certain vehicles and drivers using Group (Fleet) permissions. This means users can be set up to only see vehicle/driver activity and the reports for vehicles they are responsible for.

Privacy in Replay

The default behaviour of MyEROAD Groups/Fleets is that people given access to a Group/Fleet are able to monitor reported times, distances, locations, and events generated by its vehicles or drivers.

However, the ability to record and track drivers using video technologies has the potential to be abused by untrained users, or people with malicious intent, potentially violating rights of privacy.

To address this, MyEROAD’s Replay featureset changes the default behaviour of Groups/Fleets. Replay users may only see clips from the vehicles in the Groups/Fleets/Hierarchies to which they’ve been allocated. Replay users may only see a specific driver’s clips if the vehicle that driver is using is in the Replay users Group/Fleet.

Example:
Alice is a Dashcam Safety Manager, who has been assigned to a Group/Fleet that is a mix of drivers and vehicles. This means:

  1. On the Activity page and other screens, Alice can see Vehicle and Driver data, such as locations, times, events, etc. for all of the vehicles or drivers in her Group/Fleet.
  2. In Replay, Alice is able to see/request clips generated from vehicles in her Group/Fleet.
  3. In Replay, if a driver in her Group/Fleet drives a vehicle not in Alice’s Groups/Fleets, Alice cannot see that driver’s (or that vehicle’s) clips.
  4. In Replay, if a driver not in Alice’s Group/Fleet starts driving a vehicle that is in it, Alice can see that vehicle’s clips.

Add new Groups (Fleets)

  1. Administration > Groups (Fleets)

  2. Click on Create New Group.

  3. Enter a name for the new group.

  4. Click Submit.

Add vehicles and drivers to Groups (Fleets)

  1. Administration > Groups (Fleets)
  1. Click on the Group (Fleet).
  2. Manage Vehicles In Group OR Manage Drivers in Group.
  3. A Choose Vehicles or Choose Drivers pop-up interface appears.

  4. Search or sort to refine your list of items, then drag items from the left section to the right.
  5. Tap an item’s X to return an item to the left section.
  6. Save.

Remove Groups (Fleets)

  1. Administration > Groups (Fleets)
  2. Click on the Group/Fleet’s Remove button.

A Group (Fleet) cannot be removed if a user has been set up with exclusive access to the Group (Fleet) you wish to remove (i.e. user only has access to the one Group (Fleet).

The Group (Fleet) cannot be deleted until its user has been deleted, or has had another Group (Fleet) assigned.

Hierarchies

Hierarchies are a drag n' drop way to manage Groups (Fleets) in a structured way, to facilitate group communications and bulk application of certain properties.

Accessing Hierarchies is from the Manage Groups (Fleets) page.

Once Groups (Fleets) are created, they appear in the left column with drag-handles.

Managing hierarchies

  1. Tap Add to create a hierarchy.
  2. Enter the name of your hierarchy.
  3. Drag a Group from the left column to the hierarchy name.
  4. A blue line will indicate the finished position of your Group in the hierarchy.
  5. A group may be dragged under several hierarchies, appearing under several hierarchies.
  6. A group already in a hierarchy may be dragged back to the left column, removing it from the source hierarchy.
  7. When finished, Publish.
