Geofences Overview

This article outlines the historical Geofence toolset in the Geofences menu. These articles don’t apply to the modern Geofence centre/ Geofence Tags menus.

Geofences are 3 or more latitude/ longitude coordinates that define a polygon on a map. Geofence have numerous uses, from entry/exit timestamping, to off-road claim areas, to virtual speed cameras, to risk locations to construction zones.

You can draw geofences on maps in:

  • Activity / Geofences
  • Reports / Daily Activity
  • Administration / Geofences

You can monitor your vehicles’ geofence visits in:

  • Reports / Geofence Activity with Aux Inputs
  • Reports / Daily Acitivity
  • Reports / Fleet Summary

TIP: A geofence should be at least 250 metres or 820 feet in diameter to be big enough for EROAD hardware units to detect activity in the geofence. The maximum size of a geofence is 25 square kilometres.

NOTE: MyEROAD users with only the basic role can view but not create, edit or remove geofences. Some Unit Managers might not have access to the Geofence tab if the Allow Geofence Access checkbox under Roles and Permissions is disabled.

Creating geofences

To draw a geofence:

  1. Go to a map screen in MyEROAD, for example in Activity / Geofences.
  2. Zoom or pan the map to the area you would like to geofence.
NOTE: The address search functionality can help you locate any street address or point of interest on your map. Enter full or partial address information or a point of interest in the search box and select one of the suggestions listed.

  3. Click the Draw Geofence tool located on the top left of the map geofence-draw.
  4. The mouse will change from an arrow to an arrow with a point.
  5. Click on the map once to mark one point of the Geofence. Then release the mouse, move the mouse to the next place and click and release the mouse again.
  6. Continue clicking, releasing and moving the mouse until you are ready to close the Geofence. Complex Geofences may require many points.
  7. Double-click to close the Geofence.
  8. The Save New Geofence screen will appear.
  9. Enter a name and select the types you would like to apply to the Geofence e.g. Customer Site, Off-Road Area etc. Some types require additional information, find detailed info here.
  10. Select Tags as required (find detailed info here).
  11. Select Notification Setup as required (find detailed info here).
  12. Click Save.
  13. For an Off-Road Area Geofence, you can now enter the reason why roads included in the Geofence are to be treated as off-road, e.g. "Galaxy Road, Kinleith - privately owned forest road”. This entry will be included in the RUCOR form when claiming off-road travel refunds. Confirm by clicking Save.

For reporting purposes, you can assign types to a Geofence.

You can assign further attributes (‘tags’) in Geofence tags.

Stop Watch

Stop Watch Geofence allows you to set time limits for geofences. When a vehicle enters a Stop Watch geofence and fails to exit within the set time limit, a notification email will be sent to nominated recipients.

Notifications might be delayed if entry and/or exit points of a Stop Watch geofence are located in an area with poor cellular coverage. In order to ensure reliable notifications in real time, we recommend you adjust the size of the geofence so that exit and entry points have good coverage.

In Send notification after, enter the time limit for a notification email to be sent.
