Using Templates

Inspect templates are predefined forms that aid drivers in capturing and recording defects during vehicle inspections. EROAD provides a set of default templates that may be used or you can create new templates for your vehicles or assets. Default templates cannot be edited.

  • Click Inspect > Templates Templates submenu icon reduced to open the Templates list. 

Templates List

A list of templates displays when the Templates screen is opened. This list can include the EROAD default templates provided with the Inspect system, as well as any new custom templates that users create. These features allow users to:

Viewing a Template's Details

Click on a template name in the template list to open its Template Details dialog box to the right of the template list. This dialog box includes the following information:

  • Details — Includes the name, description, and template message
  • Item Defaults — Includes inspection type (pre-trip or post-trip), available results (pass, fail, N/A), and safe to use (if failed)
  • Categories — Customized for the template's use

Template Actions

Click the Action Template Options Icon reduced icon beside a specific template to access various options for that template. Available options are duplicate the template, assign the template to a vehicle, set the template as the heavy vehicle default, set the template as the light vehicle default, set the template as the trailer default, or set the template as the asset default. These options are illustrated below.

Custom created templates may be deleted, but EROAD default templates may not be deleted.

Duplicating a Template

Users may duplicate an EROAD default template or use a custom template to create a new template. Perform the following steps to duplicate a template.

  1. Click the Action Template Options Icon reduced icon beside a specific template name. The list of template action options appears.
  2. Click Duplicate to duplicate a template. The Add a New Template dialog box opens with the original template's presets populating the new template fields.
  3. Replace the original template (copy) name in the Template Name field. Note: Fields with a asterisk (*) are required fields.
  4. Enter a new description in the Description field.
  5. Enter a Not Safe to Use Message, if a message should be displayed to a driver if a certain item fails.
  6. Switch the toggles on or off, as needed, in the Item Defaults section, as needed. Toggles include: Inspection Type (Pre-Trip or Post-Trip, Available Results (Pass, Fail, or N/A), or Safe to Use.
  7. Edit the Category toggles, if needed.
  8. Click Save to finish your new template. See Create a Template for more information about template toggle switches.

 

Setting Template Defaults for Vehicle/Asset Types

A specific template can be set as the default for every heavy vehicle, light vehicle, trailer, or asset that is entered in MyEROAD. You may also assign a template to new vehicles created with one of these vehicle types. Perform the following steps to set a template default.

  1. Click the Action Template Options Icon reduced icon beside a specific template name. The list of template action options appears.
  2. Click the template default that is required; (select from Set Heavy Default, Set Light Default, Set Trailer Default, or Set Asset Default).

 

Assigning a Template to a Vehicle Type

Perform the following steps to assign a template to a vehicle type.

  1. Click the Action Template Options Icon reduced icon beside a specific template name. The list of template action options appears.
  2. Click the Assign option. The Manage Vehicles / Assets screen appears under the Administration menu.
  3. Click on the vehicle name to which you want to assign the template.
  4. Click the Manage Inspection hyperlink.
  5. Click the Template drop-down list and select the template that you want to assign.
  6. Click Update Template.
