Defects

EROAD Inspect is a main menu option in MyEROAD that is used to manage the resolution of defects recorded through the Inspect Driver Vehicle Inspection Report (DVIR) on the in-vehicle device. The following sections describe the functions available on the Defect Board.

US Defect Board 

 

  • Click Inspect in the red menu bar to display three submenu options: Defects, Inspections, and Templates. Inspect automatically displays the Defect Board when it opens.

Defect Board

The Defect Board is the default display when you open the Inspect menu. The Inspect Driver Vehicle Inspection Report (DVIR) feature on the in-vehicle device interfaces with the Defect Board to display all defect items that have failed or are unsafe. The position of each item on the board shows its progress toward completion.

Managing Defects

The defect items are displayed as cards that are moved across the Defect Board according to their progress status. A defect appears in the Reported column when it is first submitted. The three defect status levels are Reported, Repairing, and Repaired.

New defects first appear in the Reported column. Defects are prioritized in the list based on their severity. Items that fail and make the vehicle no longer safe to operate are prioritized at the top of the queue. Defects are then arranged in order by time, so the most recently identified defects are at the top of the column. Each defect card is color-coded on the left edge by severity, which are described below.

  • Solid red — Failed, not safe to drive; prioritized to the top of the queue
  • Striped red — Failed; prioritized below unsafe items

Using Filters

You can use filters to reorganize the Defect Board and display only specific items, if needed. The Filters icon, shown in the upper left corner of the screen, opens a dialog box where filters may be selected and applied. The filter options are listed below. 

  • Inspection Result — Select defects based on its result [Failed (Safe) or Failed (Not Safe)]
  • Machine — Select defects based on vehicles/assets listed in My Organization > Vehicles/Assets. Select the name of the vehicle/asset and its group
  • Driver — Select defects for a specific driver

Note: You may select more than one value in a filter by pressing and holding the Control button on your keyboard. 

Perform the following steps to select and apply filters to the Defect Board.

  1. Click the Filters Filters icon icon to open the Defect Board Filters dialog box. The filter options (Inspection Result, Machine Name & Group, and Driver) first appear to be grayed out, even though they are active.
  2. Click in the desired field to open the filter and then select an option.
  3. Select other filters described above, if needed.
  4. Click Apply Filters to reorganize the Defect Board.
  5. Click the X in the upper right corner to close the Filters dialog box.

Note: Click Filters and then click CLEAR ALL to reset the Defect Board back to its default appearance. You can also save filters by clicking the Save As Default button.

Tip: Set up groups for vehicles/trailers or drivers if you want to filter the Defect Board by group.

Defect Card

Each defect card displays a summary of the defect description, which includes the vehicle/asset name, inspection item name, severity, message or photo icon (optional), progress status, and the time of the last progress status change. See the Defect Details section below for more information. 

Moving Defect Cards

Defects are moved to the Repairing column when the item is being serviced, and they are moved to the Repaired column when completed. 

  • Click and hold the defect card and then drag it to the next column to change the progress status.

Note: The driver verifies that the repair is completed, which is equivalent to the third required signature. Then, the defect is cleared from the Defect Board in 24 hours after the driver verification.

Using the Action Icon to Move Defect Cards

The Action Template Options Icon reduced icon (on the right side of the defect card) opens a drop-down list allowing you to select the next step in resolving a defect item. The options in the drop-down list can vary depending on the current progress status of the item. 

  • Click the Action Template Options Icon reduced icon to open the drop-down list and select one of the following actions:

    • Move to Reported — Moves the item to the Reported column
    • Move to Repairing — Moves the item to the Repairing column
    • Move to Repaired — Moves the item to the Repaired column
    • Discard Defect —  Deletes the defect item and updates the status as discarded

Defect Details

The Defect Detail view displays heading information at the top of the dialog box and lists the actions taken to resolve the defect. Messages entered by the driver and photos are also included, if applicable. The item severity color code is shown on the left side of the box above the item name. The progress status is shown on the right side of the screen above the item name, such as Repairing. Inspect users may enter comments against a defect, which are visible to drivers through the Inspect DVIR, as well as to MyEROAD users.

The next progress status option is displayed as a blue button at the bottom of the list. The More button includes additional progress steps to use in advancing the item through the Inspect system.

Perform the following steps to open and manage the Defect Details. 

  1. Click the center of the Defect Card to open the Defect Details dialog box.
  2. Review the current status of the defect item.
  3. Click the blue Repairing button to advance the item to the next progress status, or click the More button to select a different progress status.
  4. Click the X in the upper right corner to close the Defect Details dialog box.
