EROAD Inspect is a main menu option in Depot that is used to manage the resolution of defects recorded through the Inspect App. The following sections describe the functions available on the Defect Board.
- Click Inspect in the red menu bar to display three submenu options: Defects, Templates, and Inspections. Inspect automatically displays the Defect Board.
Use the following links to see more information about using templates and managing inspections.
The Defect Board is the default display when you open the Inspect menu. The Inspect App interfaces with the Defect Board to display all defect items that need attention, or ones that have failed or are unsafe. The position of each item on the board shows its progress toward completion.
The defect items are displayed as cards that are moved across the board according to their progress status. The three defect status levels are Reported, Repairing, and Repaired. New defects first appear in the Reported column. Each defect card is color-coded on the left edge by severity, which are described below.
- Solid red — Failed, not safe to drive; prioritized to the top of the queue
- Striped red — Failed; prioritized below unsafe items
- Yellow — Attention is needed; prioritized at the bottom of the queue
You can use filters to reorganize the Defect Board and display only specific items, if needed. The Filter button, shown in the upper left corner of the screen, opens a dialog box where filters may be selected and applied. The filter options are listed below.
- Fleet — Select defects based on groups listed in My Organization > Group (Fleet)
- Vehicle — Select defects based on vehicles/assets listed in My Organization > Vehicles/Assets
- Driver — Select defects for a specific driver
- Result — Select defects based on its result [Failed (Safe), Failed (Not Safe), or Attention]
- Machine Type — Select defects based on machine type (Heavy Vehicle, Light Vehicle, Trailer)
Note: You may select more than one value in a filter.
Perform the following steps to select and apply filters to the Defect Board.
- Click the Filter button to open the Defect Board Filters dialog box. The five filter options (Fleet, Vehicle, Driver, Result, and Machine Type) first appear to be grayed out, even though they are active.
- Click in the desired field to open the filter options and then select an option.
- Select other filters described above, if needed.
- Click Apply to reorganize the Defect Board.
Note: Click Filter and then click Clear to reset the Defect Board back to its default appearance.
Each defect card displays a summary of the defect description, which includes the asset name, inspection item name, severity, message or photo icon (optional), progress status, and the time of the last progress status change. See the Defect Details section below for more information.
Moving Defect Cards
Defects are moved to the Repairing column, when the item is being serviced, and they are moved to the Repaired column when completed.
- Click and hold the defect card and then drag it to the next column to change the progress status.
Using the Action Icon to Move Defect Cards
The Action icon (on the right side of the defect card) opens a drop-down list allowing you to select the next step in resolving a defect item. The options in the drop-down list can vary depending on the current progress status of the item.
- Click the Action icon to open the drop-down list and select one of the following actions:
- Move to Reported — Moves the item to the Reported column
- Move to Repairing — Moves the item to the Repairing column
- Move to Repaired — Moves the item to the Repaired column
- Create Service Task — Creates a service task for the item as part of the next scheduled service tasks, and removes it from the Defect Board; the item then displays under the Service > Tasks tab for the vehicle
- Discard Defect — Deletes the defect item and updates the status as discarded
- Archive — Places the defect item in the archive records
The Defect Detail view displays heading information at the top of the dialog box and lists the actions taken to resolve the defect. Messages entered by the driver and photos are also included, if applicable. The item severity is shown on the left side of the box above the item name. The progress status is shown on the right side of the screen above the item name. Inspect users may enter comments against a defect, which are visible to drivers through the Inspect App, as well as to Depot users.
The next progress status option is displayed as a blue button at the bottom of the list. The More button includes additional progress steps to use in advancing the item through the Inspect system.
Perform the following steps to open and manage the Defect Details.
- Click the center of the Defect Card to open the Defect Details dialog box.
- Review the current status of the defect item.
- Click the blue Repairing button to advance the item to the next progress status, or click the More button to select a different progress status.
- Click the X in the upper right corner to close the Defect Details dialog box.
